Lesson 2 · Set up your account & team

Phase 1 · Foundations — Lesson 2 of 21 · All lessons

Objective: create your account and organisation, understand the five team roles, invite a colleague, and know where plans and billing live.

Before you start: Lesson 1, so the words organisation, project, and website already mean something.

Create your account

  1. Go to the webscan sign-up page and choose Register.
  2. Enter your details and submit. You're taken to a short Welcome to Webscan onboarding screen that offers to Add your first website.
  3. You can add a website now, or choose Skip for now and do it in Lesson 3. Either way you land on your Dashboard.

The dashboard is home base. Its Overview greets you and shows Your workspaces (your organisations) and your most Recent scans.

Create your organisation

An organisation is your workspace and your billing boundary — everything else lives inside it.

  • If you don't have one yet, the dashboard shows Create your first organisation. Give it a name and choose Create organisation.
  • To add another later (agencies often make one per client), use New organisation on the dashboard.

Each organisation on the dashboard has quick links to Team, Sandbox verification, and Settings.

The five roles

When you invite people, you give each a role. Here's what they can do:

Role Can do
Owner Everything, plus manage the team, manage billing, and delete the organisation. The person who creates an organisation is its owner.
Administrator Everything an owner can do day-to-day, including managing the team and billing — but not deleting the organisation.
Auditor Run scans and audits, review findings, set verdicts, and manage issues. The everyday accessibility-specialist role.
Developer Same working access as an auditor — aimed at engineers picking up issues and fixes.
Viewer Read-only. Can see scans, findings, and reports, but can't change anything.

The practical rule: anyone except a Viewer can do the accessibility work (add websites, run scans, manage findings and issues). Only Owners and Administrators manage the team and billing. Only an Owner can delete the organisation.

Invite a colleague

  1. From the dashboard (or organisation settings), open Team.
  2. Enter the person's email, pick a role, and send the invitation.
  3. They receive an email with a link to accept; once they do, they appear in your members list.

A few things to know:

  • Seats are limited by your plan. If you're at your seat limit, webscan blocks new invitations until you free a seat or upgrade. Pending invitations count toward the limit.
  • Invitations can be revoked before they're accepted, and members can be removed later.
  • Only Owners and Administrators see the Team page.

Where plans and billing live

Billing is per-organisation and is managed by Owners and Administrators. Open your organisation's Billing page to see:

  • your current plan and what it includes (website and seat limits);
  • the available plans with their prices, and a button to upgrade;
  • your recent payments.

You don't need a paid plan to learn — the Free plan lets you run real scans on one website. Upgrade only when you hit the website or seat limit. (Billing and plan limits get a full treatment in Phase 5.)

Tips & pitfalls

  • You are the Owner of any organisation you create. Be deliberate about who else you make an Owner or Administrator — those roles control billing and the team.
  • Give specialists Auditor, engineers Developer, stakeholders Viewer. It keeps who-can-change-what clear without anyone being blocked.
  • Hitting an "invite blocked" message? You're at your plan's seat limit — that's billing, not a bug. Remove an unused member/invite or upgrade.

Recap

  • You register, land on the dashboard, and create an organisation.
  • Roles are Owner, Administrator, Auditor, Developer, Viewer — everyone but Viewer can do the work; only Owner/Admin manage team and billing.
  • Invite people from Team; seats are capped by your plan.
  • Billing is per-organisation and lives behind Owner/Admin access.

Try it yourself

Create your organisation (if you haven't), then open Team and note your seat limit. Optionally invite one colleague as an Auditor or Viewer so you have someone to assign issues to in Phase 2.
